Electronic Records Specialist
Washington D.C.

We are seeking an experienced Electronic Records Specialist for our client’s growing Records team. This position can be located in Washington D.C., Seattle, Chicago, Indianapolis, Phoenix, or alternatively, can work remotely. This position is responsible for all electronic file transfers, both incoming and outgoing, and includes the processing and maintaining of electronic records. This role offers opportunities to coordinate and manage large projects with Records staff at all offices nationwide.

THE POSITION
Primary Duties and Responsibilities

  • Primary contact for all incoming and outgoing electronic file data
  • Coordinate and organize all data for incoming and offboarding attorneys
  • Coordinate and manage client requests related to their file management during the onboarding or offboarding process
  • Manage and track receipt of client consents/authorizations and ensure data complies with the firm's incoming file policy
  • Create encryptions and/or passwords for outgoing client matter data
  • Manage transfer of electronic data using secure methods which includes identifying, organizing, and exporting client/matter data from the document management system, files on shared drives, litigation support databases and extranets
  • Work with IT to implement ethical walls and legal holds within the records management system
  • Maintain a thorough working and training knowledge of the records management system for IG functionality

YOUR CREDENTIALS
Primary Requirements:

  • 2-4 years law firm or records management experience involving matter mobility (on-boarding and off-boarding attorneys and/or clients)
  • Strong computer skills: FileTrail, Excel, Word, 7-Zip, Drop Box or ShareFile experience preferred
  • Self-motivated with excellent organizational skills and attention to detail
  • Strong customer service skills and the ability to multitask in a fast-paced environment
