OUR CLIENT

One of our legal partners in LA is seeking a Legal Secretary to join their expanding tax practice. They are a global law firm that has been in business for over 100 years! 

THE POSITION

The role of a Legal Secretary with the firm encompasses a diverse array of secretarial and administrative tasks, catering to attorneys, fee-earners, administrative staff, and clients. This position is based in the Los Angeles office and specifically assigned to the Private Client and Tax division.

RESPONSIBILITIES
  • Generates correspondence, trust, and estate documents, while also gathering and analyzing information. Additionally, creates charts, graphs, and other visual aids.
  • Assists fee-earners and clients by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents.
  • Manages attorneys' schedules by arranging Zoom/Microsoft Teams meetings, conferences, and travel.
  • Maintains physical and electronic filing systems (FileSite/iManage).
  • Schedules meetings involving internal and external participants, as well as coordinates conferences and travel arrangements.
  • Communicates with internal and external clients to exchange information.
  • Records attorney time using timekeeping software (3E).
  • Prepares reimbursement reports for assigned fee-earners using Chrome River.
  • Facilitates the monthly billing process in collaboration with accounting and assigned partner(s), including the preparation of draft and final client invoices.
  • Assists in the New Client Intake process, including conducting conflicts checks, organizing matter details, and preparing Engagement Letters.
  • Operates office equipment such as photocopiers and scanners as required.
  • Ensures the confidentiality of client and firm-related matters.
REQUIREMENTS
  • High school diploma required; Bachelor's degree preferred.
  • 2+ years of administrative experience supporting multiple attorneys or senior leaders concurrently, with a preference for law firm experience, although not mandatory.
  • Possesses a track record of assisting others and understands the level of attention required for this role.
  • Explored various strategies to effectively manage tasks and has discovered an optimal method for achieving success.
  • Demonstrates resourcefulness, composure, and empathy.
  • Thrives in a dynamic estate planning practice that demands quick-paced engagement.
  • Demonstrates a proven ability to deliver exceptional client service in all interactions.
  • Skillfully utilizes relationships to coordinate complex schedules, prepare meeting documents, track deadlines, and contribute to ad hoc projects.
COMPENSATION
$70,000 to $100,000 DOE
