Our client is a downtown Denver law firm known best for its family-friendly culture and long-standing reputation as a multi-practice, sophisticated business law practice. The firm is seeking a Legal Billing and Administrative Specialist to handle the following responsibilities:
- A/P: Submit reimbursement requests, and vendor invoices, to accounting for payment
- Maintain blank checks and Blank Check Log; Process manual check requests, including Firm sponsorships
- A/R: Daily deposit of checks received for services to the bank, corresponding reports
- All New Client/Matter procedures (with the exception of making folder), filing
- Billing duties, respond to clients regarding W-9 forms
- Create and organize all timekeeper reports
- Maintain correct mailing list for clients, billing contacts
- Check and sort mail daily
- Train all Admin Department employees on job responsibilities
- Assign and delegate tasks to Admin Department staff
- Main contact for all vendors (refreshments, supplies, toner, parking, etc.)
- Set up any vendor work that needs to be done in the office (Netdocs training, maintenance, furniture moves, new attorney furniture, hang artwork, etc.)
- Maintain firm maintenance files (lease agreement, firm policies, etc.)
- Maintain Originating Attorney lists
- Manage staff needs – staff leave, absences, workflow coverage, etc.
- New Hire Orientation, set up of office, and all processes
- Conflict checks
- Benefit Plan Admin, coordinate and execute all annual benefit enrollments for the firm
- Termination of employees in all benefit enrollments, retrieve parking pass and building badge
- Maintain, update, attorney information: CO Legal Directory, Supreme Court Registration
Target base compensation ranges from $60k-$90k, depending upon experience and the position is fully benefitted.
